1. Policy Overview
This Cancellation & Rescheduling Policy applies to all services provided by SCUDO KEY TRACK SOLUTIONS, including:
- Consultation Services ($200 per hour)
- Lock & Key Services
- GPS Installation, Configuration & Maintenance
- All other scheduled appointments and services
KEY PRINCIPLE: Cancellation does NOT equal refund. All payments are non-refundable regardless of cancellation. This policy addresses rescheduling options only.
2. Consultation Services - Cancellation & Rescheduling
2.1 Standard Consultation Policy
For consultation services ($200 per hour):
✓ 24+ Hours Notice
- One Free Reschedule: You may reschedule once at no additional charge
- How to Request: Email info@scudokeytracksolutions.com
- Required Information: Full name, phone number, original appointment date/time, preferred new date/time
- Subject to Availability: New appointment based on consultant availability
- No Refund: Payment remains non-refundable; you're simply moving the appointment
⚠️ Less Than 24 Hours Notice
- No Reschedule Available: Cannot reschedule with less than 24 hours' notice
- Full Fee Forfeited: The $200 consultation fee is completely forfeited
- New Booking Required: Must book and pay for a new consultation at standard rate
- No Exceptions: This policy applies regardless of circumstances
❌ No-Show Policy
- Definition: Failure to be present at scheduled location at appointed time
- Full Fee Forfeited: Entire $200 consultation fee is lost
- No Reschedule: No rescheduling option available
- No Refund: No refund under any circumstances
- New Booking: Must book and pay for new consultation at standard rate
2.2 One Reschedule Limit
You are entitled to one free reschedule only with proper notice. If you need to reschedule a second time:
- Additional rescheduling may be subject to fees
- Availability is not guaranteed
- We reserve the right to require a new booking
- Original payment remains non-refundable
3. Lock & Key Services - Cancellation & Rescheduling
3.1 Scheduled Appointments
For lock and key service appointments:
✓ 24+ Hours Notice
- Rescheduling Available: May reschedule based on technician availability
- Deposits: Any deposits paid remain non-refundable but apply to rescheduled service
- Materials Ordered: If materials have been ordered, you may be responsible for costs
- Contact Required: Must contact us via email or phone
⚠️ Less Than 24 Hours Notice
- Cancellation Fee: May incur cancellation fee up to 50% of service cost
- Deposits Forfeited: Any deposits paid are forfeited
- Materials Costs: Responsible for any materials already ordered or prepared
- Rescheduling: May reschedule but additional fees apply
3.2 Emergency Services
For emergency lockout services:
- Cancellation must occur before technician is dispatched
- If technician is en route, full service fee applies
- No refunds for emergency service calls
4. GPS Installation, Configuration & Maintenance - Cancellation & Rescheduling
4.1 Installation Appointments
For GPS installation services:
✓ 48+ Hours Notice (Recommended)
- Preferred Notice: 48 hours' notice preferred for GPS installations
- Equipment Ordering: Allows time to adjust equipment orders
- Rescheduling: Can reschedule without additional fees
- Deposits: Deposits remain non-refundable but apply to rescheduled service
⚠️ Less Than 48 Hours Notice
- Equipment Costs: May be responsible for equipment already ordered
- Restocking Fees: May incur restocking fees for specialized equipment
- Cancellation Fee: May incur cancellation fee
- Deposits: Deposits may be partially or fully forfeited
4.2 Configuration and Maintenance
For GPS configuration and maintenance appointments:
- 24 hours' notice required for rescheduling
- Less than 24 hours may incur fees
- Ongoing maintenance contracts have separate terms
5. How to Cancel or Reschedule
5.1 Required Steps
To cancel or reschedule any appointment:

5.4 Response Time
We will respond to cancellation/reschedule requests:
- Email Requests: Within 4-6 business hours
- Phone Requests: Immediate confirmation during business hours
- After Hours: Next business day
6. Special Circumstances
6.1 Weather and Natural Disasters
In the event of severe weather or natural disasters:
- We will contact you if we need to reschedule
- You may reschedule without penalty if conditions are unsafe
- Determination of "unsafe conditions" is at our discretion
- No refunds; rescheduling only
6.2 Medical Emergencies
For documented medical emergencies:
- Contact us as soon as possible
- Provide documentation if requested
- We will work with you to reschedule
- Standard policies may be waived at our discretion
- No refunds; rescheduling only
6.3 Company-Initiated Cancellations
If we must cancel your appointment:
- We will provide as much notice as possible
- We will offer to reschedule at your convenience
- Priority scheduling for rescheduled appointments
- If rescheduling is not possible, refund may be issued at our discretion
7. Late Arrivals
7.1 Client Late Arrivals
If you arrive late to your appointment:
- Up to 15 Minutes: Service will proceed but may be shortened
- 15-30 Minutes: Service significantly shortened; no refund or credit
- 30+ Minutes: May be considered a no-show; full fee forfeited
- Consultation Services: Consultation ends at originally scheduled time regardless of late arrival
7.2 Technician Late Arrivals
If our technician is delayed:
- We will notify you as soon as possible
- We will provide estimated new arrival time
- You may choose to wait or reschedule
- For consultations, we will extend time to ensure full hour
8. Repeat Cancellations and No-Shows
8.1 Pattern of Cancellations
If you have a pattern of cancellations or no-shows:
- We reserve the right to require full payment in advance
- We may require non-refundable deposits for future bookings
- We may decline to schedule future appointments
- Additional fees may apply
8.2 Multiple No-Shows
After two no-shows:
- Future bookings may be declined
- Higher deposits may be required
- We reserve the right to refuse service

- All Sales Are Final: All payments are non-refundable
- Cancellation ≠ Refund: Cancelling does not entitle you to a refund
- Work Begins Upon Payment: Resources are allocated when payment is received
- Rescheduling Only: This policy allows rescheduling, not refunds
- Forfeited Fees: Fees forfeited due to late cancellation or no-show are not refundable
